E-Invoicing for Our Suppliers

E-Invoicing at a Glance

From 1 January 2027, invoices for domestic deliveries in Germany and Slovakia are exchanged as structured e-invoices. This page explains what changes for you, which formats and channels we support and how to prepare.

Structured data

Invoices as XML

An e-invoice is a structured data file (XML) that our systems read and book automatically. A picture of an invoice, such as a scan or a plain PDF, is not an e-invoice.

One standard

EN 16931

All supported formats follow the European standard EN 16931. Your invoice software or e-invoicing provider can usually produce one of them.

One channel per country

SMTP, Peppol, SDI

Each country has its own channel. The table in the next section shows the rule for your invoices.

What Changes from 1 January 2027

Three things change for suppliers who invoice a Yanfeng entity in Germany or Slovakia from the same country.

1

Structured e-invoice

Invoices and credit notes for domestic deliveries must be issued as structured e-invoices in one of the supported formats.

2

Paper and PDF invoices

Paper invoices and PDF-only invoices are no longer accepted as invoices for these deliveries. In Germany, legal transition rights apply (see below).

3

New communication channels

Invoices are delivered through the channel of your country instead of PDF by email or post.

Paper and PDF Invoices

For domestic deliveries in Germany and Slovakia, the invoice is the structured data file. A visual copy may still travel with it.

Until 31 December 2026

  • PDF by email, read by optical character recognition
  • Paper invoices by post, scanned on receipt
  • Invoice data read from an image of the document

From 1 January 2027

  • Invoice data arrives as XML and is processed automatically
  • A ZUGFeRD PDF with embedded XML is accepted
  • A PDF without XML, and paper, are not e-invoices
  • Credit notes follow the same rules as invoices
If your e-invoice is rejected, you receive an error report and send a corrected e-invoice. Where price or VAT changes, we need a credit note and a new invoice.

Frequently Asked Questions

Can I still send a PDF?

A ZUGFeRD PDF with embedded XML is accepted. A PDF without XML is not an e-invoice for domestic deliveries in Germany and Slovakia. In Germany, the legal transition rights described above apply.

Do credit notes also have to be e-invoices?

Yes. Credit notes and corrections follow the same rules as invoices. XRechnung and Peppol BIS Billing credit note formats are supported, and ZUGFeRD can carry credit notes.

What happens if my e-invoice is rejected?

Your e-invoice is validated on receipt. If it does not meet the format or content rules, you receive an error report and send a corrected e-invoice. Where price or VAT changes, please send a credit note and a new invoice.

I am located outside Germany and Slovakia. Does anything change for me?

No. Cross-border invoices to our German and Slovak entities continue as agreed with your Yanfeng contact. This may change when the rules of your country change.

Where do I find the Yanfeng Peppol ID?

The Peppol participant IDs for Germany and Slovakia are listed in the sections Supported Formats and Supported Channels, and can be verified in the Peppol Directory. Several Yanfeng addresses share one participant ID, so please also quote your purchase order on the invoice.
